About this skill
Problem
Formal contracts, bid documents, academic papers, and corporate deliverables often contain Word and Excel structures that plain text editing easily damages: multi-level numbering, locked tables, headers and footers, fields, tracked changes, comments, metadata, and plugin XML. Shallow replacement can cause style drift, broken numbering, duplicate shared strings, broken formula references, or accidental delivery of hidden revisions and residue.
How It Works
It treats DOCX and XLSX as OOXML packages and makes minimal structural edits against parts such as document.xml, styles.xml, numbering.xml, and xl/sharedStrings.xml. The workflow locates targets by style, table coordinates, worksheet, or cell; applies precise replacement, batch replacement, paragraph insert/delete, formula edits, and row/column changes; preserves revision marks and style indices; and validates numbering links, table lock settings, field controls, style health, and compatibility. It can also produce version diffs, cleanup reports, and conversion reports for .doc, PDF, WPS, and .docm to DOCX.
Limits
It is aimed at formal delivery and favors named styles, fixed column widths, and section-level layout. Charts, pivot tables, macros, mail merge, and complex templates still need checks for reference ranges, cache ranges, and security filtering; do not rely on the rendered view to judge the underlying structure.
Use Cases
- Legal counsel standardizes entity names, clause numbering, and revision cleanup before contract delivery.
- Pre-sales engineers validate bid document tables, headers, numbering links, and field controls.
- Research assistants convert annotated theses into clean DOCX files with version diff output.
- Operations analysts update Excel formulas and date formats while checking chart and pivot references.
Best For
- Legal owners preparing contract handoff: batch replace entity names and remove hidden revisions, comments, and metadata.
- Pre-sales writers building bid files: validate Word tables, numbering, headers, footers, and field controls.
- Administrative maintainers of policy templates: lock named styles, fixed column widths, and section-level page layouts.
- Operations analysts maintaining budgets: edit formulas, batch update formats, and verify chart and pivot references.
