Problem It Solves

Cross-team scheduling usually breaks down not because people do not want to meet, but because availability, required attendees, optional attendees, and hard deadlines are scattered across conversations. Asking “when are you free?” often creates open-ended replies and extra rounds of coordination. This skill targets multi-participant, multi-role meeting scheduling where the goal is to turn fragmented availability into comparable options.

How It Works

It does not connect directly to other people’s calendars and does not send invites on the user’s behalf. Instead, it works from availability information supplied by the user. Core capabilities include free-time intersection, priority weighting, fallback option generation, meeting length optimization, recurring schedule planning, and conflict-resolution suggestions.

The workflow has three layers:
- Information gathering: confirm attendee count, roles, available or unavailable windows, meeting length, urgency, and hard constraints.
- Computation and ranking: calculate the intersection of required attendees, rank options by optional attendee coverage, and avoid low-value slots such as the first hour after lunch or the last 30 minutes before work ends.
- Option output: provide at least two or a Top 3 set of choices, with coverage, absentees, tradeoffs, and a coordination message template.

If there is no common free time, it can suggest splitting the meeting, moving to async document review, or asking lower-priority attendees to watch a recording. If a key decision-maker has very limited availability, it can suggest shortening the meeting, circulating the agenda in advance, or limiting their participation to the decision segment.

Boundaries

This skill fits the “find a slot, compare slots, and prepare options” stage. It is not intended for meeting minutes, facilitation, video conferencing setup, or timezone conversion. It does not access calendar systems or send invites, and cross-company availability usually must be provided separately. In practice, it works better when the user proposes 2–3 concrete options instead of asking an open question, when recurring meetings are anchored to a fixed slot, and when important meetings are coordinated early with clear duration, agenda, and preparation materials.
