About this skill

Problem

Expense approval often gets stuck on unclear ownership, amount thresholds, cross-team routing, and exception handling. Asking for “approval by amount” is rarely enough. This skill narrows the goal into a design brief: who submits, who reviews, who approves, when the case escalates, what evidence is required, and how the workflow is audited.

How It Works

It is a descriptive skill. It does not execute real code, call external APIs, or trigger financial transactions. Inputs are typically expense categories, amount bands, org levels, compliance requirements, or existing process pain points. Outputs are structured analysis, actionable recommendations, and a next steps checklist. Key areas include:

  • Roles: applicant, department head, finance, compliance, executive, and responsibility boundaries.
  • Routing rules: approval paths by amount, department, expense type, or project attributes.
  • Exception handling: missing materials, rejection, co-signing, escalation, and timeout follow-up.
  • Implementation checklist: permissions, logs, audit trail, reporting, and pre-launch checks.

Boundaries

It is useful for process design, review, template cleanup, and cross-team alignment. It is not a runtime engine, integration layer, or payment automation. If real execution is needed, its output must be converted into a workflow definition, API design, permission model, or data schema and implemented by an engineering team.

Use Cases

  • Before launching reimbursement rules, map expense types, amount limits, and approval paths.
  • Reviewing an existing OA flow, list missing documents, rejection, co-sign, and escalation rules.
  • Aligning finance and business, draft approval roles, responsibility boundaries, and checklist.
  • Designing exception approval, define paths for amount limits, department, and project attributes.

Best For

  • Operations owner launching reimbursement rules, needing clear expense types and amount approval limits.
  • Finance compliance lead needing missing-document, rejection, and escalation approval rules.
  • Product manager improving an OA workflow, needing roles, approval paths, and a checklist.
  • Project lead presenting reimbursement rules, needing exception approval and escalation paths.
