Monthly accounting archiving in small and mid-sized businesses often stalls because source files are scattered: voucher PDFs, ledgers, bank receipts, invoices, customs declarations, and reimbursement attachments are spread across directories. Manual review requires repeated checks of amounts, buyer/seller names, voucher numbers, and fees, followed by renaming, attachment matching, journal entries, and reporting. SKILL.md turns that workflow into explicit steps, reducing common errors such as near-match ambiguity, mismatched bank receipts, and inconsistent account mappings.
How It Works
- Mandatory first-run setup: A new company must complete a 21-item checklist before archiving starts. It generates files such as
company-config.md,account-chart.md, andconfig.py, centralizing account charts, bank accounts, suppliers and customers, fee rules, and summary conventions. - Source file classification: It identifies voucher, ledger, bank receipt, invoice, customs declaration, and reimbursement files, then splits or renames them using conventions such as
YYMMNNN.pdf,fp,ckfp, andgd. - Attachment matching: Bank receipts support single-amount matches, multi-item matches with fees, multi-receipt totals, and debit/credit scenarios. Invoices are classified as input VAT
fpor output VATckfpbased on buyer/seller. - Entries and validation: It maps business types to journal-entry templates and substitutes account codes from
company-config.md. Boundaries and Caveats
The skill depends on complete company data: missing account charts, bank details, supplier/customer lists, or fee rules will reduce matching accuracy. Historical vouchers can help learn company-specific habits but are optional. When multiple vouchers share the same amount, amounts differ by 0.03 to 1, an invoice cannot be assigned precisely, or a file cannot be recognized, the workflow flags it for manual confirmation instead of deleting or forcing a match. Foreign-currency rounding differences may be normal, but they still need review against company configuration.
