About this skill
Problem
Government and party office documents have strict layout requirements for page margins, font sizes, line spacing, title wrapping, and hierarchy numbering. Manual review easily misses nonstandard markers such as 1、 or (一)、, and may also overlook type-specific rules such as signer fields for requests or the absence of a primary recipient in minutes. This skill treats the task as rule-based formatting: given complete document content, it produces a normalized document aligned with GB/T 9704-2012.
How It Works
- Identify document type and elements: classify the document among 15 official types and check required elements such as title, primary recipient, body, attachments, signature, and date.
- Load reference specs: use
gb9704-spec.mdanddoc-type-guide.mdfor page setup, fonts, spacing, and type-specific formatting requirements. - Apply layout rules: set A4 margins, center the title, apply official body fonts and sizes, first-line indentation, line spacing, and four-level numbering with the required fonts.
- Generate and verify: create a
.docxfile withima-docx, convert it to PDF withima-pdfwhen needed, and fix issues against a checklist before output.
Boundaries
This skill handles formatting only. It does not draft content, design red-head agency marks, or perform PDF merging, splitting, encryption, or table processing. Missing required elements trigger prompts for user input, and output quality depends on the completeness of the provided content.
Use Cases
- After drafting a notice, agency staff need GB/T 9704-2012 title, margin, and font formatting into Word.
- When reviewing a request document, an office clerk corrects missing signer fields and nonstandard numbering.
- A public-sector employee formats minutes, letters, and replies to match type-specific official rules.
- After producing a formatted Word file, administrative staff convert it to PDF for final delivery.
Best For
- Government office staff who need GB/T 9704-2012 formatted Word or PDF documents after drafting.
- Public-institution administrators who standardize fonts, margins, and numbering in notices and requests.
- Government-affairs or legal-operations staff who pre-issue checks of elements, type rules, and layout.
- Document reviewers who fix mixed numbering, signature dates, and version-record placement.
